Posting Summary
Rutgers, The State University of New Jersey is seeking a Research Contract/Grant Specialist for the Center for Pharmacoepidemiology and Treatment Science ( PETS). This position will report to the PETS Center Director of Sponsored Research. This role will work closely with the Rutgers Institute for Health Business Office and support multiple PETS Core Faculty to play a key role in coordinating grant submissions and post-award grant support.
Among the key duties of the position are the following:

  • Provides pre-award grant support, including preparing submission materials and aiding grant proposal development.
  • Facilitates the administrative coordination and execution of contracts, data use agreements, subawards, and related items.
  • Facilitates ongoing subaward, contract, and procurement lifecycle (including preparing initial materials for Purchase Order generation and ensuring timely invoice submission) for study-specific post-award processes.
  • Establishes research contracts with federal agencies and pharmaceutical industry.
  • Reviews monthly/quarterly project reconciliations for accuracy of grant charging
  • Prepares relevant documents for submission for regulatory approval by Institutional Review Boards.
  • Collaborates with and provide mentorship to junior personnel in the Project Specialist track.
  • Ensures all appropriate human subjects research regulatory approvals are obtained and documented, and confirm that all study personnel meet required training and compliance standards.
  • Monitors grant timelines, support budget allocation/projections, identify potential delays, and implement solutions to keep spending on track.
  • Maintains regular communication with core faculty, Rutgers Institute for Health Business Office representatives, and Sponsors.
  • Assists in the submission of study deliverables, such as progress reports and final study reports.
  • Establishes mechanisms to track progress of completion of grant pre-award and post-award documents.
  • Attends continuing education and compliance training, as necessary.

Qualifications






Minimum Education and Experience
  • Bachelor's degree in business administration, public health, life sciences, research administration, finance, or a related field and five (5) or more years of progressively responsible experience in sponsored research administration, grants management, contracts, or research operations within a university, academic medical center, or comparable research environment.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Knowledgeable of federal, state, foundation, pharmaceutical industry, and sponsored research regulations, particularly NIH and the US FDA, and strong working knowledge of pre-award and post-award research grant submission processes and grant administration.
  • Knowledgeable of financial management principles for sponsored projects.
  • Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal skills, including excellent oral and written communication skills.
  • Ability to successfully balance multiple responsibilities, solve problems with little guidance, prioritize multiple tasks, and interact successfully with a wide range of individuals at all levels of the University and external community.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Ability to maintain professional demeanor and complete work consistent with the vision, missions, values, and priorities of the PETS Center.

Preferred Qualifications
  • Master's degree in business administration, public health, life sciences, research administration, finance, or a related field.
