Key Responsibilities

  • Provide high-level administrative support, serving as a trusted partner and extension of the executive office. Provide limited administrative support to direct leadership staff as needed.
  • Manage complex, high-volume calendars, including coordination of meetings with senior executives, staff meetings, all-hands calls, and leadership forums.
  • Arrange and manage domestic and international travel, including itineraries, travel documentation, and preparation and submission of expense reports.
  • Handle highly confidential and sensitive information with the utmost discretion, exercising sound judgment in all internal and external interactions.
  • Proactively identify urgent issues, requests, or calls and take appropriate action to ensure timely resolution.
  • Prepare executive correspondence; create, edit, and format spreadsheets, presentations, and reports; and support special projects as required.
  • Operate effectively in a remote environment with flexibility for early-morning hours to support international stakeholders and time zones.
  • Foster strong human connections across the organization and with external partners. This role requires a high level of emotional intelligence, professionalism, and presence in live interactions-by phone, video, and in person.

Qualifications

  • Minimum of 8 years of executive administrative experience, supporting senior-level executives, preferably within a Marketing organization.
  • Advanced proficiency in Microsoft Office, including Excel, Word, and PowerPoint.
  • Proven ability to manage competing priorities, exercise discretion, and independently assess urgency in a fast-paced environment.
  • Strong multitasking capabilities with the ability to meet deadlines and manage time effectively.
  • Exceptional organizational skills and meticulous attention to detail.
  • Demonstrated interpersonal and communication excellence, with the ability to engage with individuals at all levels of the organization.
  • Experience managing budgets, expense reporting, and administrative tracking or reporting.
  • Sound judgment and discretion when handling highly confidential and sensitive information.
  • Must be authorized to work in the United States without sponsorship from an employer now or in the future.
