MAJOR FUNCTION

The Fleet Manager / Fleet Insurance Claims / Indirect Sourcing Specialist is responsible for overseeing the day-to-day management, maintenance, compliance, and operational readiness of the company's vehicle fleet plus responsible for indirect tasks in the Americas region under the Global Indirect Fleet Category Manager leadership. This role also leads and manages all fleet-related insurance claims, serving as the primary liaison between the company, insurance carriers, repair vendors, internal stakeholders, and drivers. The position ensures fleet safety, cost efficiency, regulatory compliance, and timely resolution of claims.

PRIMARY RESPONSIBILITIES

Fleet Operations Management

  • Manage the company's vehicle fleet lifecycle, including acquisition, assignment, maintenance, and disposal.

  • Monitor fleet performance, fuel usage, mileage, and operating costs to optimize efficiency and reduce expenses.

  • Coordinate preventive maintenance schedules and ensure timely repairs to minimize downtime.

  • Maintain accurate fleet records such as registration, licensing, inspections, warranties, and service histories.

  • Develop and implement fleet policies, procedures, and safety protocols.

Insurance Claims Management

  • Serve as the primary point of contact for all fleet-related insurance claims, including accidents, damage, theft, and liability incidents.

  • Initiate, track, and manage insurance claims from first notice of loss (FNOL) through final resolution.

  • Collaborate with drivers, supervisors, and insurance carriers to gather incident documentation, statements, photos, and police reports.

  • Monitor claim progress, negotiate settlements when needed, and ensure timely reimbursement from insurers.

  • Review estimates, repair invoices, and adjust reports for accuracy and cost control.

Compliance & Risk Management

  • Ensure all fleet operations comply with federal, state, and local regulations (DOT, OSHA, state DMV requirements, etc.).

  • Conduct regular safety audits, driver training, and post-incident reviews to mitigate risk and prevent future incidents.

  • Track and report on fleet safety metrics, claim trends, and loss ratios.

  • Maintain proper documentation for audits, insurance renewals, and internal reporting.

Vendor & Stakeholder Relations

  • Manage relationships with repair shops, leasing partners, rental agencies, telematics providers, and insurance carriers.

  • Coordinate vehicle rentals or replacements during repairs or downtime.

  • Work closely with Finance, HR, Safety, and Operations to support organizational goals.

Data Management & Reporting

  • Maintain accurate fleet databases and insurance claim logs.

  • Prepare regular reports on fleet performance, costs, claims status, and KPIs for leadership.

  • Use telematics and fleet management software to drive productivity, safety, and compliance.

Indirect Sourcing tasks

  • Support the execution of indirect procurement activities across the Americas region in alignment with global indirect category strategies

  • Work under the guidance of the Global Indirect Category Manager to ensure consistency and compliance with sourcing policies

  • Coordinate and support regional initiatives, including supplier management and contract execution

  • Assist in implementing global sourcing frameworks and the 2-step sourcing process within the Americas

MINIMUM REQUIREMENTS

EDUCATION:

  • Bachelor's degree in business administration, Logistics, Risk Management, or related field preferred (or equivalent experience).

EXPERIENCE:

  • 3-5+ years of experience in fleet management, insurance claims, transportation, or a related area.

  • Experience with commercial insurance claims strongly preferred.

KNOWLEDGE & PERSONAL ATTRIBUTES:

  • Strong knowledge of fleet operations, vehicle maintenance, and regulatory requirements.

  • Familiarity with insurance claim handling processes, terminology, and documentation.

  • Excellent communication and negotiation skills.

  • Strong analytical and problem solving abilities.

  • Proficiency with fleet management systems, telematics, and Microsoft Office tools.

  • Ability to manage multiple priorities in a fast-paced environment.

The estimated pay range indicates the expected annualized pay range for this position. It may not include potential bonus incentives such as annual bonus' as well as sales and sales related incentives, or overtime (on eligible positions). The actual pay offered may vary based on several factors, including the applicant's qualifications, relevant experience, unique skills, education level, certifications or licenses, and the location from which they will work. The final pay determination will comply with state or local minimum wage laws applicable to the job's location. We may ultimately pay more or less than the posted range. This range may be modified in the future.
