Human Resources Coordinator [Fixed Term]

Reporting to Viterbi Human Resources leadership, this position will support a broad range of transactional HR and payroll activities across the employee lifecycle. Responsibilities include processing high-volume HR transactions in Workday and related systems, including job requisitions, employment actions, onboarding, offboarding, payroll-related transactions, and employee records administration. The role requires exceptional attention to detail, strong organizational skills, sound judgment, and the ability to manage competing priorities while maintaining accuracy and responsiveness.

ESSENTIAL DUTIES AND RESPONSIBILITIES

HR Operations & Data Management

  • Support the day-to-day operations of the Viterbi Position Management Group (PMG).
  • Execute a high volume of HR and payroll transactions within Workday and related systems.
  • Process and maintain employee and position data within Workday, including hires, transfers, status changes, compensation changes, leaves, and terminations.
  • Prepare, review, and distribute HR-related documents, letters, and employment documentation.

Recruitment & Hiring Support

  • Process job requisitions, job changes, and related transactions in Workday.
  • Coordinate interview scheduling and candidate communications.
  • Prepare employment contracts, offer-related documentation, and onboarding materials.

Onboarding, Offboarding & Employee Transactions

  • Coordinate onboarding and offboarding activities and process related employment transactions.
  • Process onboarding, termination, and separation transactions and ensure timely completion of required employment steps.
  • Conduct and track I-9 verifications and reverifications.
  • Prepare and distribute onboarding, offboarding, and employment-related documentation.
  • Serve as a point of contact for routine HR transactional inquiries.

This position is expected to provide broad operational and administrative support to the Viterbi HR team in a fast-paced environment and may support special projects and operational initiatives as needed. Additional duties may be assigned based on operational priorities and business needs.

ADDITIONAL INFORMATION

  • Salary Range: The hourly rate range for this nonexempt (overtime-eligible) position is $28.18 - $35.54. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) scope of responsibilities, work experience, education and training, skills, internal equity, and market conditions.
  • Work Modality: This position is eligible for a hybrid work arrangement; however, regular onsite presence is required to support operational and business needs. Fully remote work is not available for this position. Work schedules and onsite expectations will be determined in coordination with department leadership and may vary based on operational demands.

PREFERRED QUALIFICATIONS

  • Prior experience supporting HR, payroll, recruiting, onboarding, or other high-volume administrative operations.
  • Strong administrative processing, organizational, and documentation management skills with exceptional attention to detail.
  • Experience using Workday or a similar HR information system.
  • Proficiency with Microsoft Office applications, including Excel, Outlook, and Word; experience with Lucidchart or similar workflow/documentation tools preferred.
  • Experience working in higher education or another complex administrative environment.
  • Demonstrated ability to manage multiple tasks, maintain confidentiality, and work effectively in a fast-paced environment.

This position is well-suited for an agile, task-oriented, and customer service-focused HR professional seeking experience in high-volume HR operations within a complex academic environment. Prior Workday experience is preferred but not required, as training will be provided.
