Overview
We are seeking a highly disciplined, process-driven Provider Onboarding Navigator to oversee the integration and successful onboarding of new or reactivated providers within our expanding provider network. This is a high-volume, concierge-style operations role-not a general administrative position. Operating as the primary "doorway" and point of contact for providers, the Navigator will drive a best-in-class, "white-glove" onboarding experience. As we launch our new Geo Mode operational strategy, you will own a specific "book of business," managing and prioritizing application pipelines by region and Metropolitan Statistical Area (MSA) to directly support company capacity and recruitment goals.
Key Responsibilities
1. Prioritization & Project Management
- Own a Book of Business: Direct the end-to-end applications and onboarding pipeline for all providers within your assigned region, state, or area.
- Strategic Sequencing: Make critical decisions regarding the order of onboarding throughput based on regional capacity constraints, state assignments, and licensure types (factoring in state and plan licensure lead times).
- Cross-Functional Workflow Coordination: Synchronize a complex matrix of onboarding dependent activities including credentialing support, HR processes, IT setup, clinical readiness, and day-one scheduling.
- Maintain Timelines: Build and manage detailed regional project plans and timelines, utilizing the authority to adjust workflows as business needs shift, while holding stakeholders accountable to strict deadlines.
2. High-Touch Provider & Stakeholder Engagement
- Primary Point of Contact: Provide dedicated 1:1 onboarding support to providers via phone and email with immaculate professional etiquette, adhering to variable response-time SLAs (including occasional standard and non-standard business hours).
- Leadership Liaison: Partner closely with Regional Directors and executive leadership to recommend the best courses of action to achieve client and network capacity goals.
- Training & Enablement: Facilitate provider education to ensure swift completion of key credentialing activities (e.g., CAQH ProView and MD-APP platforms). Develop and lead live training sessions, job aids, and instructional artifacts.
3. Data Integrity & Operations Excellence
- Compliance Oversight: Coordinate and track the timely completion of credentialing paperwork, Learning Management System (LMS) modules, system access provisions, and the shipping/receiving of physical supplies.
- Data Accuracy: Maintain precise records, complete accurate data entry across tracking systems, and generate complex operational reports to present pipeline health data to internal and external stakeholders.
- Continuous Improvement: Assess onboarding workflows to identify bottlenecks, proposing and implementing measurable process enhancements.
Required Qualifications
- Experience: 4+ years of experience working in a high-volume administrative or operational function managing competing priorities under pressure.
- Project & Time Management: Superb prioritization, time-management, and organizational skills with an impeccable attention to detail.
- Communication & EQ: High emotional intelligence with a proven ability to navigate high-touch discussions and build collaborative relationships with clinical providers and corporate leadership.
- Data & Technical Literacy: Experience running complex reports and presenting data to stakeholders. Basic to intermediate proficiency in digital workspaces (Google Workspace/Google Office, Microsoft Office Suite).
- Data Entry: Proven track record of accurate, high-volume data entry and digital record maintenance.
Preferred Qualifications
- Industry Domain: Direct prior experience with healthcare provider onboarding, medical credentialing workflows, or general corporate talent onboarding.
- Software Systems: Familiarity with Applicant Tracking Systems (ATS), credentialing software, or Salesforce is a strong plus.
- Environment: Experience working and collaborating within a virtual or remote team environment.
Education Requirement
- Bachelor's Degree in Business, Healthcare Administration, or a related field; OR equivalent related professional experience.
The target hiring compensation range for this role is $20 to $25 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
