Status: Part-Time, 10-20 hours/week, mostly remote, some in-person meeting attendance required

Hours: Flexible, with attendance at Wednesday meetings at 7pm

The Town of Needham is seeking qualified individuals to fill the position of Administrative Coordinator for the Community Preservation Committee (CPC). The CPC is responsible for evaluating proposals and making recommendations to Town Meeting for the appropriation of Community Preservation funds under the Community Preservation Act. The Community Preservation Act allows Massachusetts cities and towns to raise monies through a surcharge of up to 3% of the real estate tax levy on real property. The funds may then be used to acquire, create, and preserve open space; acquire, preserve, rehabilitate, and restore historic resources; acquire, create, preserve, and support community housing; and acquire, create, preserve, rehabilitate, and restore land for recreational use.

This position is flexible, ranging from 10 to 20 hours a week, depending on the application cycle. This position will report to the Assistant Director of Finance, who serves as the Town liaison to the CPC. This position can work remote, if desired, with flexible hours. The CPC meets Wednesdays at 7pm, ranging from once a month to weekly. This position will attend the CPC meetings, but some meeting attendance may be remote.

Duties and Responsibilities

  • Attend regular CPC meetings
  • Draft, revise, and coordinate the posting of meeting agendas and meeting minutes in adherence to the Open Meeting Law
  • Coordinate schedules, meeting packets, and process documents with the Chair and other committee members
  • Manage applications received by the CPC, distribute questions and collect responses from the applicants, compile resources and backup documentation, coordinate presentations, and manage all other communications between applicants and the Committee
  • Maintain detailed accounts of approved projects, record disbursements, keep track of project statuses and updates, and update the Committee with the information
  • Manage the CPC's website with project statuses
  • Maintain records of grant agreements
  • Prepare preliminary budgetary analysis regarding outstanding balances and transactions
  • Advise and assist the CPC with respect to Town by-laws and state and federal statutes

Requirements

To be considered for the position, applicants must have at least:

  • Graduation from a college or university with a Bachelor's Degree in Public Administration, Political Science, Finance, or an associated degree.
  • One to three years of related experience.
  • A combination of experience and education equivalent to a four-year degree will be accepted.
