Note on Working Time:

This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice. Job Summary

Supervise and coordinate all administrative services within a small to moderate size campus unit or a part of the services function within a larger unit. Areas of responsibility can include administrative affairs associated with human resources, purchasing, budgets and financial records and general clerical support within the unit. Responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations.

This position will interact on a consistent basis with: unit management and staff.
This position typically will advise and counsel: unit management and staff.
This position will supervise: May or may not supervise assigned staff and/or projects

Responsibilities

Job Duty 1 -
Develop and implement unit administrative processes and procedures consistent with overall Institute administrative policy

Job Duty 2 -
Define and communicate administrative staff duties; monitor performance and provide feedback

Job Duty 3 -
Supervise the maintenance of unit financial records

Job Duty 4 -
Oversee unit human resources administration to include transaction processing, time reporting and records maintenance

Job Duty 5 -
Supervise and coordinate direct administrative support to unit management. Organize and supervise unit records management function

Job Duty 6 -
Coordinate unit purchasing activities, including preparation of purchasing documents, ordering and maintaining supplies, etc.

Job Duty 7 -
Schedule and organize meetings and other events

Job Duty 8 -
Perform other duties as assigned

Required Qualifications

Educational Requirements
Bachelor's Degree in Business Administration or related field or equivalent combination of education and experience

Required Experience
Four to five years of job related experience

Preferred Qualifications

Preferred Education:

  • MBA or master's degree in a relevant field (Human Resources or HR Management, etc.)

Preferred Certifications:

  • SHRM

Preferred Experience:

  • Four to five years of related job experience; at least 3 years of professional experience in a position focused on HR/Finance/Administrative Support
  • Professional experience in a research university setting
  • Relevant experience in people and team management

  • Experience supervising and supporting the professional development of staff who work in operational and administrative roles.
  • Excellent written and verbal communication skills.

System Knowledge:

  • Advanced knowledge of Microsoft office suite (Excel, Word, PowerPoint)
  • Advanced skills in MS Outlook or similar calendar/scheduling system
  • WorkDay Financial and/or other financial systems
  • OneUSG and/or other HR systems
  • Familiarity with emerging AI-enabled tools and their application in HR operations, including process efficiency, documentation, and decision support.
  • Ability to learn and apply new software skills.

Pay Range Starting At: $56,679.00/yr up to $77,086.00/yr

Other Information

This position reports to the Director of Business Operations and is responsible for transactional HR administration for both staff and faculty positions as well as other administrative operations across OUESS and its reporting units. The role is housed within a centralized administrative model and ensures consistency, accuracy, and operational efficiency within all aspects of talent acquisition and onboarding for the division.

Primary responsibilities include HR processes and transactions (with a strong emphasis on accuracy, compliance, and timeliness); administrative policies and procedures as they related to talent acquisition, interviewing, and onboarding staff and faculty; and day-to-day operational support. The position works closely with the Office of the Provost HR team as well as the Office of Faculty Affairs on transactional HR and faculty affairs matters. This position also works closely with the Office of the Provost Finance team to communicate budgetary alignment with staffing decisions.

The role may serve on OUESS administrative committees and may provide direct and/or indirect supervision of administrative staff within a centralized reporting structure. The position represents the Director of Business Operations in meetings and on committees as needed.

The ideal candidate is highly detail-oriented, with a strong commitment to accuracy and process development. They bring excellent organizational skills, sound judgment, and the ability to manage complex, high-volume work in a dynamic environment. Strong communication, problem-solving, and customer service skills are essential.
