Administrative Assistant- Family Behavioral Health(Full Time)

POSITION SUMMARY:

The family behavioral health administrative assistant will support the expansion of new programs and provide support to current programs. The administrative assistant will complete data entry into agency, state and federal databases and will analyze collected data to identify trends in behavioral health. This staff will also assist with running various reports to monitor and ensure continuity of care for clients and timely completion of documentation for staff. This staff will assist with agency wide clean-up of Mirah, and will assist with referral processing, outreaching clients, and coordinating care with agency and local partners.

MAIN DUTIES AND RESPONSIBILITIES:


  • Data entry into electronic health record and other agency, state, and federal databases such as BHOLD & SPARS.
  • Receive all MRSS referrals from Tides Family Services (serving as the DCO for CCAs CCBHC) and perform all data entry required as well as communication to BH teams.
  • Coordination with community providers to complete client enrollments and ensure record compliance.
  • Run reports for VOCA and monitor funds to ensure continuity of care for clients.
  • Complete agency-wide clean-up of Mirah to ensure all clients are properly enrolled, receive appropriate clinical measurements, and be a super user/support person for all programs that use this platform.
  • Track deadlines, peer record reviews, and recovery plans for timely completion.
  • Receive and coordinate referrals, outreach potential clients and schedule intakes and follow up appointments.
  • Monitor and track training binder for staff.
  • Organize data and prepare reports for funding sources.
  • Assist in on-boarding new staff and setting them up with training requirements.
  • Other duties and responsibilities as assigned or needed.

EDUCATION, JOB KNOWLEDGE, SKILL, AND ABILITY REQUIRED:


  • High school graduate or equivalent.
  • Must possess reliable transportation in order to maintain agency and client outreach in the community.
  • Excellent computer literacy skills including proficiency in Microsoft Word and Excel.
  • Effectively multitasks, is well organized, and demonstrates attention to detail.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to carry out duties independently and in a timely manner in a diversified setting.
  • Excellent interpersonal and communication skills with a pleasant manner on telephone and in person.
  • Oral and written communication skills, including speech, grammar, spelling, and legibility are at sufficient level to ensure effective and appropriate communication.

WORKING CONDITIONS:

Program assistant must be able to work alone, work in the presence of noise, perform repetitive and routine work, and attend to different tasks simultaneously. Work will primarily take place in the office. Program assistant will constantly work with other employees and clients and under deadlines and have the ability to sit at a desk for extended periods of time.
