About the Job: As key members of the UMD HR team, the HR Pro 1-Generalists will handle a broad range of HR-related responsibilities, covering most HR functions. They will be the initial point of contact within UMD HR for all HR questions for all assigned colleges and units. Support requests can include, but are not limited to, topics such as, accommodations, compensation, conflict resolution, data requests, employee engagement and experience, payroll, performance management, policy or contract interpretation, position descriptions, pre-hiring activities, records retention, workers' compensation, and workforce planning. Once received, the HR Pro-1 Generalist will escalate as needed to the appropriate party within UMD HR, OHR, or other system offices (such as DRC, EOT, etc.) The responsibilities of this position utilize highly confidential data on a daily basis. Employees in this position are responsible for knowing what information is considered private and/or confidential, what data is considered public and may be able to be shared, and to utilize their judgement and resources appropriately and ethically, escalating questions to UMD HR leadership accordingly. Please note, this position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training program. Location and Work environment: This position is located on the University of Minnesota Duluth campus. This position will be primarily in-person, with an opportunity for a rotating hybrid schedule after the training period (approximately 3 in-person days per week).
Work Schedule: This position is primarily Monday through Friday, 8:00 am to 4:30 pm.
Primary Responsibilities:
(50%) HR Operations & Strategic Support
- Conducts initial support request intakes, triaging as needed based on the nature of the request or issue.
- Provides first level of guidance related to collective bargaining agreements (CBA's), policies and procedures, payroll, time and attendance systems, and collaborates with the HRSC's on more complex situations and/or interpretations.
- Processes TDX Approvals for specific employee groups as well as oversight of the electronic personnel files for documents pertaining to these requests.
- Monitors the department's mail, email, voicemail, and calls, responding in a timely manner to requests and directing them accordingly. Retrieves mail daily and distributes it to the appropriate member of the HR Team.
- Assists the HRSC's in preparing salary analysis for job offers, promotions or in-range adjustments.
- Administers the appropriate completion of Form I-9 for UMD HR and BSR programs, assists campus units with completion when needed, and communicates issues around timeliness and accuracy to others responsible for Form I-9 completion on a monthly basis.
- Supports various human resources processes including, but not limited to: performance reviews, REPA compliance, merit pay, phased retirements, sabbaticals, single semester leaves, grievances, DOT/USCG drug testing, and other processes,and maintains the related electronic files.
- Assists with special projects and assignments as requested, such as the employee engagement survey, trends and metrics reporting, drafting and disseminating campus communications, updates to the UMD HR website, coordinating awards ceremonies for employees, etc.
- Ensures compliance with legal and institutional policies, statutes, guidelines, and regulations.
- Other duties as assigned to provide support to the HR Operations and Strategic Teams.
(25%) Employee Experience
- Maintain exceptional customer service and interpersonal skills along with the ability to communicate in a variety of methods to a diverse campus community.
- In rotation with the other HR Generalists, serves as the first point of contact for visitors to the HR Office, triaging questions as appropriate and/or directing them to the appropriate UMD HR or OHR contact.
- Coordinates New Employee (Staff) Orientation campus wide, including updates to the Canvas course, as well as coordinating location, speakers, and new employee communications for in person sessions.
- Reviews leave information and updates from OHR's Leave Team, responds to questions and forwards specific communications to colleagues as well as working with the Leave Team when discrepancies or concerns are noticed, including for payroll.
- Assists with planning & developing of projects, policies, initiatives, and continuous process improvement for the department, which have a positive campus-wide impact.
- May assist with student employment improvement initiatives, such as the implementation and sustainability of the Work+ Program, student employment focus groups, etc.
- Manage / Coordinate UMD Workers Compensation, including receipt of First Report of Injuries, communicating with the Workers Compensation carrier, supporting the employee and home department as it relates to work limitations and restrictions, assists with evaluating for any lost time and potential payroll issues, etc.
(15%) Data Management / Records Management
- Follows records retention schedule for UMD HR files and manages the destruction of files as needed.
- Assists the department with researching, collecting, analyzing, and distributing public, private or confidential information as necessary for data requests.
- Ensures files are secure and uses discretion when questioned by someone other than those working on the files.
- Assists with UMD's Unemployment Insurance (UI) vendor requests, completing an analysis and gathering pertinent information and documentation for the claims.
- Saves appropriate documents in electronic personnel files.
- May serve as a back up to the HRMS/Payroll Analyst Lead for general reporting and analysis.
- Tracks various types of appointments and changes for reporting purposes, for example, phased retirements, new faculty / staff hires, retention offers, salary augmentations, deferral of leave, etc.
(10%) Talent Acquisition
Work Experience:
- Staffing and recruitment experience.
- Experience working with a unionized workforce.

Qualifications
Required Qualifications:
- BA/BS degree, or a combination of education and/or experience to equal at least 4 years.
- Demonstrated ability to advance diversity, equity and inclusion.
- Ability to handle confidential and time-sensitive materials.
Preferred Qualifications:
- Previous professional work experience in HR.
- Interpretation of policy, collective bargaining agreements, or employee handbooks.
- Proficient skill set with Microsoft Office, Google Suite, PeopleSoft or similar program.
Pay and Benefits
