Job Summary

The Traveling Project Manager Assistant provides administrative and operational support for assigned projects while helping ensure compliance with applicable contract, safety, quality, and documentation requirements. This role manages project records, timekeeping, billing support, scheduling, financial documentation, and communication among project teams and external partners. The position requires frequent travel to project sites and supports project planning, execution, and continuous process improvement.

Job Responsibilities




  • Provide administrative support to the project management team, including coordinating meetings, managing calendars, preparing correspondence, and generating reports.



  • Maintain accurate project documentation, filing systems, timekeeping records, billing records, and project-related financial documents.



  • Monitor project expenses, process invoices, and support cost tracking and analysis in coordination with the accounting team.



  • Develop and maintain project trackers, schedules, status reports, and other tools used to monitor project performance.



  • Coordinate communication among project teams, clients, subcontractors, vendors, and other stakeholders.



  • Assist with project planning and execution by tracking assignments, monitoring timelines, documenting progress, and escalating potential issues.



  • Conduct site walks and gather measurements, photographs, and other information needed to support project quotes and estimates.



  • Coordinate the distribution and tracking of personal protective equipment.



  • Identify opportunities to improve administrative processes, streamline workflows, and increase project efficiency.



  • Perform data entry, research, document preparation, and other administrative duties as assigned.



  • Follow established safety procedures and use required personal protective equipment while visiting project sites.




Job Requirements




  • Minimum of two years of administrative or project support experience in construction, field service, telecommunications, low-voltage systems, or a related industry.



  • Previous experience supporting project managers or project teams is preferred.



  • High school diploma or GED equivalent.



  • Proficiency with Microsoft Office applications, including Word, Excel, and Microsoft Project.



  • Ability to create, maintain, and update project trackers, schedules, and reports.



  • Strong organizational, time management, and prioritization skills.



  • Ability to manage multiple assignments in a deadline-driven environment.



  • Strong attention to detail and commitment to maintaining accurate records.



  • Effective verbal and written communication skills.



  • Ability to work independently and collaboratively with project teams.



  • Valid driver's license and reliable transportation.



  • Ability and willingness to travel frequently, including overnight and extended stays.



  • Ability to sit for extended periods and regularly stand, walk, bend, reach, and navigate active project sites.



  • Ability to walk on uneven terrain, climb ladders, and work in confined spaces.



  • Ability to perform job duties in varying indoor and outdoor weather conditions.



  • Ability to lift and carry up to [confirm required weight] pounds with or without reasonable accommodation.

  • Typical start time is 7:00 a.m.



  • Work schedules generally range from 40 to 50 hours per week, depending on project requirements.



  • The position may require remaining at a project location for approximately four weeks at a time.



  • Travel arrangements may allow return trips home every two to six weeks, depending on project schedules and location.



  • Regular attendance, schedule flexibility, and reliable travel to assigned project sites are required.
