Provides leadership and team member administrative support in the unit assigned. Maintains and distributes documents for regulatory and reporting purposes. Supports hourly hiring and the orientation process. Ensures that leadership and team member administrative needs are met. Practices 200% Safety Accountability (self and others).

What You'll Be Doing:

  • Communicate by telephone, on-line systems and in person with a variety of people outside the department and/or outside the Company to give or obtain information.
  • Responsible for general unit and facility administration, including answering phones, mail and email, ordering supplies.
  • Manage and serve as system administrator for the Work Order Management System, Learning Management System, and other assigned business applications. Maintain system integrity, user access, security roles, system configurations, and troubleshooting support.
  • Provide first-level technical support for department systems, applications, hardware, and software issues. Coordinate with Information Technology teams and vendors to resolve system-related concerns.
  • Maintain system databases and records, ensuring data accuracy, integrity, compliance, and timely updates.
  • Develop, maintain, and document system processes, workflows, user guides, and standard operating procedures.
  • Research, analyze and interpret data to create and compile a variety of reports.
  • Generate and distribute recurring and ad hoc reports using multiple systems and databases.
  • Monitor system performance, identify opportunities for process improvement, and recommend technology-based solutions to increase efficiency and effectiveness.
  • Assist with software implementations, system upgrades, testing, user acceptance validation, and deployment activities.
  • Responsible for regulatory tracking, administration and data requests for different licensing, drug screens, OSHA, unemployment, court documents, and work permits.
  • Coordinate with complex team on hourly hiring and orientation, including management of job postings, processing background checks, managing new hire paperwork, and coordinating new hire questions.
  • Promote a safe and healthy work environment as a member of the safety committee and as the facility wellness champion.
  • Provide support for team members and leaders by processing job changes, maintaining personnel files, updating communication boards and assisting with uniform orders.
  • Complete project work as requested and relieve manager(s) of routine administrative details.
  • May screen and follow up on manager's telephone calls.
  • May assist leaders on team member questions or items as a first point of contact to help process entry level HR related tasks or escalate to the applicable HR Representative to help resolve issues
  • Perform other related duties as required.

What You Bring With You (Qualifications):

  • High School diploma or equivalent required; Associate degree in Information Systems, Business Administration, or related field preferred.
  • 1-3 years of experience in an administrative, systems administration, business support, or related role preferred.
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams. Advanced knowledge of Microsoft operating systems and business applications.
  • Ability to learn, administer, maintain, and troubleshoot software databases and enterprise applications as a system administrator.
  • Experience managing user accounts, permissions, security roles, system configurations, and application support functions.
  • Ability to analyze data and develop reports, charts, graphs, dashboards, and presentations.
  • Knowledge of data management principles, system auditing, and data integrity practices.
  • Experience supporting software implementations, upgrades, testing, and user training activities preferred.
  • Ability to diagnose system issues, identify root causes, and coordinate effective solutions.
  • Ability to operate standard office equipment and computer hardware.
  • Knowledge of organizational policies and procedures as they relate to departmental functions.
  • Strong interpersonal skills necessary to interact effectively with a diverse group of team members, leaders, vendors, and visitors.
  • Ability to maintain a highly professional image and conduct business accordingly.
  • Demonstrated ability to be resourceful, take initiative, and work independently.
  • Strong follow-through skills and ability to anticipate business and operational needs.
  • High level of organizational skills, attention to detail, and ability to prioritize multiple responsibilities in a fast-paced environment.
  • Analytical skills sufficient to gather, validate, interpret, and report on business and system data.
  • Ability to identify critical issues, assess risk, and respond appropriately.
