Position Title: Document Control & Training Specialist
Work Location: North Chicago, IL 60064 (Hybrid)
Assignment Duration: 3 months (possible extension- performance-based)
Work Arrangement: Hybrid Position Summary: The Document Control & Training Specialist I supports the Environmental Health & Safety (EHS) organization, primarily providing documentation and training support for Global EHS and Lake County EHS functions. Background & Context: The role supports documentation activities within OneVault (Veeva Vault) and training administration through ComplianceWire. Key Responsibilities:
* The role supports documentation activities within OneVault (Veeva Vault) and training administration through ComplianceWire, including document uploads, document approval workflows, impact assessments, training setup, and training assignment activities.
* The individual will work closely with Subject Matter Experts (SMEs) to facilitate document creation, revisions, approvals, and document management activities within OneVault while ensuring documentation is processed accurately and efficiently.
* The position also supports training activities by preparing and formatting training materials, improving PowerPoint presentations, uploading training content into ComplianceWire, assigning training to learners, and supporting instructor-led training sessions when required.
* The role partners closely with Angela Curtis, the Training & Documentation team, Subject Matter Experts (SMEs), and external vendors to support documentation and training operations.
* Responsibilities include coordinating instructor-led training logistics, processing external vendors through security, providing onsite guidance, preparing attendance documentation, and supporting instructor-led training sessions as needed. * The environment involves changing priorities, requiring the individual to remain flexible and adjust work based on business needs and documentation priorities. Qualification & Experience:
* Top focus areas for the role are OneVault (Veeva Vault), ComplianceWire, Documentation Management, Training Content Development, and Microsoft Office proficiency.
* Candidates should have working knowledge of OneVault (Veeva Vault) documentation management. Experience uploading documents, supporting document approval workflows, completing impact assessments, and managing documentation within the system is highly preferred.
* Candidates should have working knowledge of ComplianceWire and experience supporting training administration, including uploading training content, assigning training, and managing training records within the system.
* Experience with both OneVault (Veeva Vault) and ComplianceWire is highly preferred. Candidates with strong hands-on experience in either one of the two systems will also be considered.
* Strong experience with controlled documentation management is required. Candidates should be comfortable working with document uploads, document revisions, document approvals, document lifecycle activities, and collaborating with Subject Matter Experts (SMEs).
* Experience in training content development is required. Candidates should be comfortable preparing, formatting, and improving training materials, including PowerPoint presentations, and supporting training documentation activities.
* Working knowledge of the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is required.
* Strong verbal and written communication skills are required, as the role involves frequent collaboration with Subject Matter Experts (SMEs), internal stakeholders, vendors, and the Training & Documentation team.
* Strong organizational skills, time management skills, and the ability to manage changing priorities are required. Candidates should be able to prioritize work effectively and adapt to changing business needs.
