Washington College is hiring a Game Ops Coordinator for its Athletics Department. Summary: The Game Operations Coordinator oversees the planning, preparation, and operational execution of all athletic contests, tournaments, and special events hosted by Washington College. This position serves as the primary on-site event manager for assigned sports, ensuring full compliance with NCAA, conference, and institutional regulations. The role balances administrative duties like scheduling of officials and transportation along with hands-on physical production, facility management, and student worker supervision. Essential Functions: Event Management & Execution
- Serve as supervisor of game management ensuring the proper pre-game setup, in-game management, and post-game teardown.
- Coordinate game-day logistics for visiting teams, game officials, and referees, including locker room allocations, meals, and parking.
- Schedule, confirm, and update transportation for all away travel within the department.
- Serve as the liaison between the college and ref quest ensuring appropriate official funding is loaded into each team account for prompt official payment.
Personnel & Staff Supervision
- Recruit, hire, train, and schedule a staff of student workers, interns, and part-time game workers.
- Assign staff to key game-day positions, including scoreboard operators, ball crews, statistics personnel, and ushers.
Administration & Compliance
- Ensure strict adherence to NCAA, conference, and institutional rules regarding game management and fan sportsmanship.
- Assist with fiscal operations, including tracking game-day budgets, processing purchase orders, and managing payroll for workers.
- File post-game reports and incident documentation to ensure continuous process improvement.
Required Qualifications:
- Education: Bachelor's degree in Sports Management, Athletics Administration, Business Administration, or a closely related field.
- Experience: 1-3 years of experience working in sports management, live event execution, or collegiate athletics operations.
- Skills: Excellent interpersonal communication, strong time management, and the ability to solve complex logistics problems in a high-pressure environment.
- Technical: Proficiency with Microsoft Office Suite; familiarity with athletic scoreboard, audio/visual, or live-streaming systems is preferred.
- Certifications: Must possess a valid driver's license and pass a motor vehicle record check to operate university fleet vehicles.
Physical Requirements
- Ability to stand and walk for extended periods during multi-hour athletic events.
- Ability to lift, carry, and move athletic equipment weighing up to 50 lbs.
- Willingness to work outdoors and endure exposure to varying weather conditions.
