POSITION SUMMARY:

The Construction & Architectural Project Assistant will be responsible for providing administrative support concerning construction and architecture project management to the VP of Construction, VP of Architecture, Construction Project Managers, and the Architecture team as needed. Additionally, this position will also assist the Development & Acquisitions Department with construction and architect related information on projects.

ESSENTIAL FUNCTIONS:



  1. Assemble and distribute subcontracts for subcontractors and other vendors as needed
  2. Maintain organized project files and documentation within Procore and SharePoint including contracts, subcontracts, change orders, pay applications and closeout materials.
  3. Maintain project information within Procore including project staffing, updating dates, and updating project status
  4. Review DocuSign contracts confirming accurate information prior to full circulation of signatures
  5. Coordinate Amazon Hub Locker orders as needed
  6. Coordinate Common Area Laundry Equipment orders as needed
  7. Coordinate the project permanent signage process with the preferred signage vendor and Dominium Marketing team
  8. Manage architecture timesheets and project planning in Deltek
  9. Review expense report submissions to confirm accurate coding
  10. Back up support to admin for uploads of project drawings, specifications and other documents as necessary to Procore
  11. Back up support to admin of processing of change order requests, change orders, GC pay applications, and substantial completions through Procore
  12. Back up support to admin for booking travel and expense report coding
  13. Provide general administrative support to the department
  14. Other duties as assigned


QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)



  • Previous administrative experience in a construction or architecture related field is required.
  • Prior experience in Procore required.
  • Prior experience in Deltek is a plus.
  • Ability to communicate clearly and effectively with others both orally and written in English.
  • Proficient in MS Office (Word, Excel, Outlook, and Powerpoint).
  • Yardi experience preferred.
  • Higher education preferred.
  • Exceptional time management, organizational, and communication skills required.
  • Must be able to maintain confidentiality, think independently and work with minimal supervision.
