Job Description Summary:
The George Washington University is the largest university in the Nation's Capital and is located in the heart of Washington DC. This position will report to the Director of Administration.

The Office of the President ( OTP) is seeking an Administrative Assistant to provide administrative support to the Special Advisor for Artificial Intelligence. This role will provide operational support consisting of managing a complex calendar, coordinating meetings and appointments, arranging domestic and international travel, processing expenses, and preparing correspondence and other documentation.
Administrative responsibilities include, but are not limited to:

  • Answering and directing incoming phone calls, taking messages, and routing inquiries as appropriate.
  • Managing the AI email inbox, triaging messages, and routing communications to the appropriate parties.
  • Arranging catering for lunch meetings, events, and other departmental functions as needed.
  • Managing the supervisor's complex calendar, ensuring meetings, appointments, and commitments are scheduled accurately and efficiently.
  • Coordinating meetings with internal and external stakeholders, including reserving meeting space and arranging catering when necessary.
  • Coordinating all aspects of domestic and international business travel, including flights, rail transportation, ground transportation, and hotel accommodations.
  • Registering the supervisor for conferences, meetings, and professional development events.
  • Preparing and processing expense reports in a timely and accurate manner.
  • Maintaining electronic and physical files, correspondence, and records.


The position will also perform other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
This is 3 year limited term position with the option of it continuing dependent on funding for the strategic initiatives
Minimum Qualifications:
Qualified candidates will hold a high school diploma/ GED plus 1.5 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:

  • Experience supporting senior leadership or executives in a professional office environment.
  • Proficiency with Microsoft Office Suite, Outlook, and virtual meeting platforms, with the ability to learn new systems and technologies quickly.
  • Ability to handle sensitive and confidential information with discretion and professionalism.


Hiring Range $19.77 - $30.91
