Overview

Make an impact where compliance, safety, and operational excellence intersect. The specialist will support various administrative and operational needs across EH&S Programs.

In this role, the specialist will support the EH&S Quality Risk Management team by coordinating data reporting, ISO 14001 documentation and audit activities, risk and quality records, and departmental communications. For the Procedures group, the Specialist will help organize critical information, maintain digital content and document libraries, support reporting automation and governance-document workflows, and provide administrative coordination that enables technical staff and leadership to focus on program development, implementation, and oversight.

The specialist will also collaborate with stakeholders to assist with fleet management, onboarding, planning EH&S activities and outreach events, and various ad hoc administrative and operational tasks. This high-visibility role offers the opportunity to influence compliance outcomes and support continuous improvement across the organization.

This position does not provide employment pursuant to the terms of a STEM OPT Training Plan.

Responsibilities

Core Responsibilities
  • Coordinate KPI, OSHA rate, and other EH&S metric-reporting processes, including data collection, consolidation, review, approval, and publication.
  • Maintain ISO 14001 compliance documentation and digital libraries, including internal audit reports and the ISO 14001 homepage, and support migration to the future environmental management system application.
  • Provide administrative and operational support, including requisitions, invoice processing, inventory management, and special projects as needed.
  • Manage the EH&S vehicles, vehicle violations, and toll usage.
  • Prepare and format reports, presentations, training materials, emails, newsletters, and reference articles from supplied drafts.
  • Support meetings by preparing agendas, recording minutes, maintaining records, and tracking related materials.
  • Support the transition from manual documentation to new online applications by identifying the relevant forms and documents and entering them into the new applications.
  • Manage the EH&S Onboarding process.
  • Support the planning of EH&S activities and outreach events.
  • Manage various administrative and operational tasks.

Qualifications

Required Education/Experience
  • Bachelor's Degree and 2 years relevant work experience or
  • Associate's Degree and 4 years relevant work experience or
  • High School Diploma/GED and 5 years relevant work experience
Preferred Education/Experience
  • Bachelor's Degree in a related discipline (Environmental Science, Business, Human Resources, etc.) and 2 years relevant work experience
  • Associate's Degree in a related discipline (Environmental Science, Business, Human Resources, etc.) and 4 years relevant work experience
Relevant Work Experience
  • Excellent verbal, written and interpersonal skills to communicate with all levels of management and customers, required.
  • Advanced proficiency with Microsoft 365, especially Microsoft Word, PowerPoint, and Excel, and knowledge of SharePoint, required.
  • Excellent organizational, analytical, and time management skills, required.
  • Demonstrated high energy level, flexibility, and the ability to handle multiple tasks and assignments while working under aggressive timelines, required.
  • Ability to work collaboratively with technical staff, management, communications teams, and other stakeholders, required.
  • Familiarity with Power BI dashboards and Oracle financial systems, preferred.
  • Knowledge of Artificial Intelligence and the ability to work with new systems, preferred.

Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
