Our Century City office is seeking a highly skilled Client Service Specialist to provide comprehensive administrative support to attorneys in our Litigation Practice Group. This role is essential in delivering exceptional support to both internal and external stakeholders. In this capacity, the Client Service Specialist will:
- Maintain a consistent physical presence to foster a collaborative and interactive environment, optimizing assignments, cross-training, and peer-level support to ensure seamless operations for the practice;
- Serve as a facilitator of client communications and coordinator of client meetings;
- Oversee administrative functions and ensure timely completion of tasks, including finance and billing-related tasks, time and expense entries, opening of new matters, creation and maintenance of client presentations, and other administrative projects as assigned;
- Draft, format, and proofread legal documents, including pleadings, motions, subpoenas, discovery requests, TOAs/TOCs, and correspondences. Ensure all documents comply with court requirements and firm standards;
- Maintain and organize case files and client documents, both electronic and physical;
- Track important deadlines, court dates, and ensure timely and accurate filings with courts and apply subject matter expertise to the coordination of legal tasks and projects;
- Assist attorneys with the discovery process, including the collection, review, and production of documents. Manage e-Discovery projects and coordinate with third-party vendors;
- Support client billing processes, ensuring adherence to time entry protocols, proofreading and reviewing client bills, applying proper task codes, managing rate changes, and preparing expense reports or audits as necessary;
- Handle calendar management, scheduling, expense reporting, travel arrangements, and deadline tracking; and
- Willingness to work overtime as required.
Proficiencies:
- Proficiency in Intapp Time, Chrome River, and iManage;
- Advanced knowledge and expertise in e-filing in both State and Federal courts (required);
- Advanced knowledge of federal, state, and local court rules (required);
- Ability to effectively prioritize and multitask, demonstrating collaboration, delegation, and teamwork;
- Strong attention to detail;
- Advanced proficiency of English grammar, spelling, and punctuation;
- Advanced proficiency in MS Word, document editing, and comparison tools;
- Advanced proficiency in MS Outlook and web-based conference call/web-sharing applications;
- Advanced proficiency in MS Excel, including spreadsheet and database applications;
- Advanced proficiency in MS PowerPoint and presentation tools;
- Advanced knowledge of timekeeping, expense processing, and billing;
- Proficiency in document management systems;
- Ability to thrive in a fast-paced environment, working both independently and within a team; and
- Proven ability to coordinate with other firm departments, with strong communication skills to convey instructions, verify results, resolve conflicts, and deliver results on time.
Qualifications:
- Minimum of 6 years of experience as a litigation legal secretary or supporting litigation practice group;
- Associate's or Bachelor's degree (preferred); and
- Notary certification (preferred).

The salary wage range that we expect to pay for this position is a minimum of $76,100 and a maximum of $107,350 annually. The actual pay wage may vary based on experience or other relevant factors.
